Set up your band profile¶
Your band profile is what competition hosts see when you register. Fill it in at the start of each season and just touch it up as numbers change. The most important part is the roster grid — it's how MusterSheet figures out which competition class your band belongs in.
One profile per season¶
Show title, section leaders, member counts, the roster grid, and music selections are stored per season (a season runs June through the following May). A banner at the top of the form shows which season you're editing and whether you've confirmed it yet:
- Each June your previous season's details carry forward automatically — but they stay marked Not yet confirmed until you review them.
- When everything below is correct for the new season, tick "These details are correct for the ... season" and save. That's the confirmation competitions rely on.
- Until you confirm, registering for a competition will pause and ask you to either update your profile or continue with minimal information, and automatic class suggestions are held back (they'd be computed from last year's students).
MusterSheet also sends a reminder in August, and one follow-up in September if you haven't confirmed by then.
Open your band profile¶
- Click your initials in the top-right corner.
- Click Band Profile.
(Or click Edit on the Band Profile card of your dashboard.)
Fill in the basics¶
Work down the form — only four fields are truly required (Band Name, School Name, City, State), but the more you fill in, the better:
- Basic Info — band name, an optional Nickname (short name), this season's Show Title, and program type. There's no member-count box: your head count is the roster grid's total (see below).
- School — school name and location, plus Principal Name, Superintendent Name, and Booster President Name. These aren't busywork: the announcer's script at competitions is built from them ("...under the direction of..., principal..., superintendent...").
- Section Leaders — Drum Major, Color Guard Captain, and the rest. Also read aloud by announcers.
- Music Selections — the pieces in your show, each with an optional attribution. See below.
- Travel Requirements — Buses (how many buses normally travel with your band) and Trailers (equipment trailers, trucks, or semis that travel from home — count each vehicle that needs parking). Hosts use these to plan parking. They're just your defaults: when you register for a competition, the form pre-fills them as Buses arriving and Band equipment vehicles arriving and you can adjust them for that specific event without touching your profile.
Music selections¶
Under Music Selections, list the pieces in your show. At competitions where the host turns on repertoire announcements, the announcer reads them as your band takes the field — "featuring Bohemian Rhapsody by Queen, We Will Rock You, and We Are the Champions."
- Title — the piece name.
- Attribution (optional) — who it's by. Type just a name ("Queen") and the script reads "by Queen"; type the full phrase ("arranged by John Smith") and it's read exactly as written.
- Add a selection adds another row; the ✕ button removes one.
Leave the list empty if you'd rather the announcer skip it; nothing is read when there are no selections. You (or the check-in volunteer, with you standing there) can still fix the list on competition day — the announcer always reads the latest saved version.
The roster grid¶
Under Roster, enter how many students you have per section, per grade — Winds, Percussion, Color Guard, Majorette, Dance Line, Twirler, and Drum Majors, across 6th, 7th, 8th grade and High School. Leave a box at 0 if it doesn't apply. A running Total badge adds it up as you type, and that total is your band's member count — the number hosts see on your registration and on your public profile. You enter it once, here, so the two can never disagree.
This grid is what competitions use to suggest your class automatically — when you go to register, you'll see "Your band qualifies for..." based on these numbers. Keep it roughly current; it doesn't have to be exact to the student.
Privacy choice¶
At the bottom is one checkbox worth a moment's thought: "Show this band's scores on public results pages." Leave it checked and your scores appear on the public leaderboard like everyone else's. Uncheck it and only you and the competition host can see your numbers — the public sees your rating only.
When you're done, click Save Changes. You'll see "Band profile updated successfully" at the top of the page.
Co-directors¶
Any director on the band can add another:
- From the band profile settings page, click View public profile (or go to your band's page from your dashboard).
- In the Directors section, find Add co-director.
- Type their email address and click Add co-director.
Note
The person must already have a MusterSheet account with that email. If they don't, you'll see "No MusterSheet account found for that email — they need to register first." Have them create an account first.
The primary director — marked with a Primary badge — can also:
- Click Make primary next to a co-director to hand over the primary role (for example, when you change schools).
- Click Remove to take a director off the band.
Both actions ask you to confirm before anything happens.
Your band's public page¶
Every band has a shareable public page showing its name, school, classification, show title, this season's music selections, its member count (the roster grid's total), directors, and competition history with placements. Find yours via View public profile on the band settings page — the web address it opens is safe to share with parents or put in a program.
