The transport board (trailers & buses)

The transport board is the competition-day page for whoever runs the equipment shuttle trailers and buses. It's made for a phone in one hand: tap a school or a trailer, and its details slide up from the bottom.

Open the board

  • If transport is your only job that day, MusterSheet opens the board when you sign in.
  • Otherwise, open the competition's page and tap Transport in the Your Stations card.

Send trailers with a school

  1. Under Send next, tap the school. The first one is marked Next up.
  2. Tap one or more free trailers. A picked trailer turns solid with a check mark and says Picked. Tap it again to unpick it.
  3. Tap Send out now at the bottom. Until you pick a trailer, this button says Pick a trailer and does nothing.

To close the school's details without sending, tap Close at the bottom, tap the dimmed board behind it, or tap the ✕ at the top.

If the school hasn't checked in yet, the box says Not checked in yet. You can still send trailers early. When it asks you to confirm, tap OK.

You can also start from a trailer: tap a Free trailer in the Trailer yard, pick the school, then tap Send out now.

Bring trailers back

When a school's trailers are back in the yard, tap the school, then tap All trailers back.

Read the board

Trailer yard tiles:

  • Green, Free: in the yard and ready.
  • Gold, with a school name: out with that school.
  • Blue, with a school name: the school is done performing and the trailer is hauling back.

Schools are grouped by where they are:

  • Send next: checked in at the check-in table, no trailers sent yet.
  • Out on the field: has trailers out.
  • Hauling back: done performing, trailers still out.
  • Later: not checked in at the check-in table yet.
  • Done: finished, nothing out. Tap to open the list.

A school is checked in only when your check-in table checks it in. Directors can check in on their own phone, sometimes the day before. That doesn't count, so the school stays under Later until the table checks it in.

A school's tags tell you what's urgent:

  • Load in N min (gold): its trailers need to be loaded within the next 15 minutes.
  • Load-by passed N min (red): it's late. Send trailers now.
  • Staging or Performing: where the band is in the show.

Each school has an Equipment load size, guessed from its member count. To change it, tap the school, then tap Small, Medium, or Large. These sit just above the trailers.

The board updates by itself on every phone that has it open.

Buses

Tap the Buses tab at the bottom to see buses parked against buses expected, for the whole lot and for each school. A school's buses count as parked once your check-in table checks it in.

Announcements

Messages from the host show at the top of the board. Tap Got it to clear one from your screen. Emergency messages stay up until the host or a co-host taps End.

Hosts and co-hosts can post from the Announce button at the top:

  1. Write the message, or tap a starter phrase.
  2. Choose Staff or Public too.
  3. Pick Info, Schedule, Weather, or Emergency.
  4. Tap Send announcement.

Who can do what

  • The host, co-hosts, and Transport staff can send and return trailers and set load sizes.
  • Nobody else on your staff can open the board. Check-in and cash helpers don't see it.
  • Only the host and co-hosts can post announcements or change the trailer roster.

To give someone the job, invite them with the Transport role (Invite your staff).

Before the day: set up your trailers (host)

Go to Manage, then the Transport & Logistics tab. The host and co-hosts can open it.

  1. Turn on Offer host-provided equipment shuttle trailers.
  2. Set Trailers leave (minutes before gate). This sets each school's Load by time on the board.
  3. Set Trailers back (minutes after finishing). This is how long a trailer stays busy after a school performs.
  4. Tap Save logistics.
  5. Under Trailer roster, add each trailer your crew will run. Give it a name people know ("Big Red", "Gator 1") and a size, then tap Add trailer. Changes to a trailer save on their own. The trash can removes one.

The Planning check chart shows how many trailers you'll need through the day, based on what directors asked for. If you need more than you have, it tells you how many more to find. The board shows the same chart, called Expected load.

The same tab also holds your day-of contacts and parking instructions for directors. See Create your competition.
