Before competition day

Once you're Paid, the ball is mostly in the host's court. Here's what to watch for in the days and weeks before the event.

Watch for the schedule

The host builds the performance schedule as registrations settle. When it's published you'll see your Performance Time on your dashboard's competition card (until then it shows TBD), along with your position in the running order.

You'll also get your warm-up time and location — they appear on the day-of page (below) alongside your performance time.

Read the logistics

Open the competition page and re-read two cards that fill in as the event approaches:

  • Logistics & Arrival — check-in procedure, Bus Parking, Equipment & Trailers, and a Site map if the host posted one. Share this with your drivers.
  • Event Contacts — the Event Coordinator (questions before the event) and the Day-of Contact (the person to call from the road). On a phone these numbers are tap-to-call.

Double-check your own details

The announcer's script and the check-in table both work off your band profile. A week out, take two minutes to confirm:

  • Your profile is confirmed for this season (the banner at the top of the band profile form says so — if it reads "Not yet confirmed", review and tick the confirmation checkbox).
  • The roster grid is close to reality — its Total is the member count hosts classify you by.
  • Show Title is this season's show, and your Music Selections list is current — some competitions have the announcer read the repertoire as you take the field.
  • Drum Major and section leader names are current.
  • Your Buses arriving and Band equipment vehicles arriving counts for this event — the numbers you confirmed when you registered — still match what you're actually bringing. These were copied from your band profile at registration time, so a later edit to your profile's Travel Requirements won't update this registration on its own. If your plans changed, mention it at check-in and the volunteer can correct the day's count there.

Confirm your captions

The competition page for any event you're registered in has a Competition Captions card — the list of captions (Band, Percussion, Color Guard, and so on) your band is competing in, taken from what you checked at registration. Judges' sheets and the results math follow this list, so confirm it before competition day:

  • If the card shows an amber Not confirmed note, open it, check or uncheck captions to match what you're actually fielding this year, and save. That stamps the list as confirmed. At least one caption must stay checked — even exhibition bands are scored for feedback in the captions they compete in.
  • Plans changed? You can edit and re-save any time until your band performs, or until a judge submits a sheet for you — after that the list is locked, because judges' sheets have already followed it.
  • If your host reworks the score sheet after you confirm — adds a section, or removes and re-adds one — your confirmation is cleared and the card goes amber again. Nothing you chose is held against you; the list you agreed to simply isn't the list anymore, so give it another look.
  • If you're not sure how to do this in the app, call your host — they can review and set your captions for you from their side.

If it never gets confirmed beforehand, the check-in table handles it on competition day: the check-in form shows the same caption list, and checking in confirms it.

Keep an eye on the bell

Schedule changes, host announcements, and reminders all arrive as notifications — the bell in the top bar shows a badge when there's something new. The big ones also go out by email: when the host publishes or updates the schedule, and a reminder about 30 minutes before your band performs. Any of these emails can be turned off individually under Settings → Notifications (the bell keeps working either way). On the morning of the competition, you'll also find a Day-of Dashboard button on your dashboard card: Competition day covers that.
