Invite your staff

You can't run a competition alone from the press box. The Staff tab on your Manage page lets you deputize helpers, each with exactly the access their job needs.

The roles

Role What they can do
Co-Host Nearly everything you can — full management access, plus the check-in station, cash station, announcer tools, and awards. Your second-in-command.
Registrar The band check-in station.
Volunteer Coordinator The band check-in station and the shoutout cash station. Ideal for whoever runs your parent volunteers.
Announcer The announcer console and the awards teleprompter.
Tabulator The announcer's advance controls and score visibility — for a dedicated scores person in the press box.

A few things only the primary host can do: change competition settings, add or remove staff, and the Danger Zone actions (cancel, revert, delete).

Send an invitation

  1. On the Staff tab, find Add a Staff Member.
  2. Enter their Email address and pick a Role.
  3. Click Send Invitation.

What happens next depends on the email:

  • They already have a MusterSheet account — they're attached immediately, no invitation needed. Done.
  • New to MusterSheet — an invitation is created and MusterSheet shows you a personal link to forward to them (text it, email it). Opening the link lets them create their account and land directly in their role. They appear under Awaiting Response until they accept; you can Resend (issues a fresh link) or Revoke (kills the link) at any time.

To take someone off the team later, click Remove on their card.

Who needs a seat and who doesn't

Only people who touch MusterSheet screens need staff seats: the person checking in bands, the cash-table volunteer, the announcer, your co-host. Gate workers taking admission, concession helpers, and pit crews don't need accounts at all. Judges are invited separately — see Invite & manage judges.
